Time Management – 3 Tips To Do More In Less Time
What I came to learn is that, everyone has the same amount of hours in a day, and that it is up to me to see how I can maximise that time.
Some aspects that are very interesting to look at are:
- What do I currently do with my time?
- What is it I do which is not serving me?
- What activity can I switch with something more productive?
- What tools/strategies can I use to help me more?
Let’s now dive into some strategies and tools that might be useful, to help you “gain” time back in your life.
Time Management Tip #1 – Time Blocking
This might sound obvious but too many people get stuck in doing one thing and wanting this one thing to be done before moving on to something else.
Or, equally, doing something, but then jumping on many other things at the same time.
No blaming here, because I very much was like that, and still catching myself sometimes. In fact, as I am writing this blog, I must focus very much to not jump on checking my facebook notifications for example.
Confession: I am a social media addicted…
don’t tell anyone!
To make it easier on yourself, schedule your tasks, put a timer on, and once the time is up, move onto the next thing.
Even if you don’t feel like you have finished completely, move on, and come back after you went through all your tasks. This way you will actually achieve much more than doing one thing from A-Z and move on.
Time Management Tip #2 – Text Replacement
Are you using your phone a lot for business purpose?
Surely you have things that are very repetitive. Such as the same answer to the same questions you get from potential customers ; ie: Prices, Type of Work, Locations you cover…
The secret in saving time to type these things over and over, or even copy paste, is by using the text replacement in your phone settings.
The idea is to put all that text you need to type over and over, and replace it by a key word.
Therefore, each time you must send that answer, you just need to type the keyword in the area where you type your message, then select the pre-written text. Of course you can amend it before sending if needed, such as putting the person’s name etc.
Time Management Tip #3 – Automation
Do you send email/newsletter to your customers, clients, staff, teammates…?
Do you post on social media daily to give value to your audience, and attract new potential customs?
You certainly know that it is extremely time consuming, and sometimes also takes some thinking.
Instead of doing this daily, or randomly even, I implemented in my strategy to do it once or twice a week.
Typically, I sit down on Saturday or Sunday for about 1 hour and organise all my social media posts, and another hour to plan all my emails. Then I schedule them to be broadcasted at specific times in the week.
How? I use the great post schedule tool which is already integrated in Facebook pages, Many chat, and also an email marketing provider called Aweber (see the show notes below for more info on these tools).
Time Management – Conclusion
It is not about how much time we have, but what we do within the time we have. Because we all have the same amount of time, with some people manage to do so much, whereas others are caught into the time trap.
Yet, there is definitely some shortcut you can use as the one I shared with you above. These will definitely help you get more done, while feeling in control, even wondering what else you can do.
